  • Answer the phones, check voicemail and send messages to appropriate parties.
  • Order supplies for office and coffee break room (compare prices between vendors)
  • Make sure we have enough supplies in the kitchen every day.
  • Do Flight Bookings and Hotel reservations
  • Do changes in overseas flights as requested.
  • Update and maintain hiring packages for HR.
  • Distribute the incoming mail.
  • Maintain the spreadsheet with the credit cards transactions.
  • Maintain the Petty-Cash spreadsheet.
  • Greet and help visitors and clients.
  • Arrange transportation for the employees who are traveling.
  • Create the shipping labels for FedEx and UPS, compare invoices and receipts and send them to accounts, (drop off the packages in the boxes outside the building or schedule pick up if it’s too big)
  • Create company IDs.
  • Order Business Cards (Create the QR Code).
  • Order company’s stationery (envelopes, letterheads, etc.)
  • Update the software and do the inspections for the posting machine.
  • Organize the rooms for the meetings.
  • Review the 3D Analytics link before Demos.
  • Maintain the Visitors Register
  • Maintain the Access card register
  • Support all administrators with a variety of tasks.
  • Schedule meetings for Doctor.
  • Backup the Payroll CDs.
  • Print and put together the RFP’s material and send them via FedEx
